Order Notes and Gift Messages in the Shopify Cart: A Practical Guide
How to use the Shopify order note for gift messages and delivery instructions, where notes show up after purchase, and when a dedicated field works better.
The order note is a free-text box in the Shopify cart that travels with the order, and it is the simplest way to collect a gift message, a delivery instruction or a short personalisation request. It suits anything occasional and unstructured. Once your team depends on the text to make or ship the product, a dedicated field is the better tool. This guide covers what the note is good for, where it appears once the order is placed, when to replace it with something more specific, and why it should stay optional.
What is the order note on Shopify?
It is one text field for the whole order. Whatever the shopper types in the cart is saved on the order when they pay. It is a standard part of the Shopify cart, so most themes can show it and many cart drawers include it.
Two properties define what it can and cannot do:
- It belongs to the order, not to an item. If the cart holds three products, the note does not say which one it refers to.
- It is free text. There is no format, no validation and nothing to stop a shopper writing anything at all, or nothing.
Those are strengths for casual use and weaknesses for anything your operation relies on.
What do shoppers use it for?
Three things, mostly.
- Gift messages. 'Happy birthday, Sam. Love from all of us.' The shopper expects this to arrive with the parcel, printed or handwritten.
- Delivery instructions. 'Leave with the neighbour at number 12.' Useful only if the instruction reaches the carrier, which is a separate question from whether it reaches you.
- Personalisation and requests. Initials for an engraving, a preferred colour for a mixed pack, 'please send the newer label if you have it'.
Where does the note appear after the order is placed?
On the order itself in your Shopify admin, in the notes area of the order page, where staff can read it and edit it. Everything else depends on your set-up, so check each of these with a test order:
- Packing slips. Shopify's packing slip template is editable and can print the note. Print one and look. If the note is a gift message and the slip goes in the box, also check the slip shows no prices.
- Notification emails. The note can be included in order emails to the customer or to staff through the notification templates. Whether it is depends on the template.
- Fulfilment partners. If a warehouse or third-party logistics provider ships your orders, ask whether the note comes through in their system and whether anyone reads it. Often this is the weak link.
- Carrier labels. A delivery instruction typed into the note does not reach the driver by itself. Someone or something has to carry it across.
Then give the note a place in the packing routine. The usual failure is not technical; it is an order packed by someone who did not look. One caution for staff: when adding an internal comment, do not overwrite the customer's text.
When is a dedicated field better?
When the text has to be right, complete or attached to a particular item. Move away from the general note in these cases:
- The text is tied to one product. Engraving, monogram initials or a name on a label should be captured on the product itself, as a field stored against that line of the order. Theme developers call these line item properties. Each item then carries its own text, and it appears beside that item in the admin.
- You need it every time. A required field belongs on the product page, where the shopper is configuring the item, not in the cart.
- It needs a format. A delivery date, a character limit for an engraving, a choice from a list. Free text will produce dates you cannot read and messages that do not fit.
- Systems need to read it. A named order-level field, known as a cart attribute, gives a warehouse system or an automation a labelled value to look for, which a sentence in a note does not.
- It is a paid service. Gift wrapping with a message is an add-on with a price. Offer it as an opt-in extra and collect the message alongside; our guide to adding a gift wrap option to a Shopify cart shows how.
Should the order note be required?
No. Most orders need no note, and a required box turns a quick checkout into a moment of doubt about what to write. Keep it optional and unobtrusive.
Good defaults:
- Show it collapsed behind a short link such as 'Add a note or gift message', which expands on tap.
- Place it below the items and above the total, so it never pushes the checkout button off a phone screen. Our piece on mobile cart drawer UX covers the layout.
- Save what the shopper typed if the drawer closes and reopens.
The order note and discount box are included on the free plan of Marka Cart Drawer, so they sit in the drawer where shoppers look for them.
How should you word the prompt?
Tell the shopper what the box is for and what will happen to the text. 'Order note' is vague. Better prompts are specific to how you use it:
- 'Gift message (we print this on a card in the box)'
- 'Anything we should know about this order?'
- 'Delivery instructions for the courier'
Only promise what you do. If nobody hand-writes cards, do not imply they do.
Do not invite information you have no reason to hold. Door codes, health details and similar private information should not sit in a free-text field that staff and connected apps can read.
A short checklist
- Place a test order with a note and trace where the text appears: admin, packing slip, emails, fulfilment partner.
- Rewrite the prompt so it says what the note is for and what you do with it.
- Keep the note optional and collapsed by default.
- Move item-specific text, such as engraving, to a field on the product.
- Make gift wrap with a message an opt-in add-on with its price shown.
- Make checking for a note a step in packing every order.
The note is one of the small fixtures described in our guide to what a Shopify cart drawer should contain, alongside the design points worth checking in any drawer. If your current cart hides the note or drops it, Marka Cart Drawer includes one as standard.
