How to Handle Returns and Refunds on Bundles in Shopify
How to refund a partial return from a discounted bundle: pro-rata logic with an example, BOGO and free gift returns, and what to put in your policy.
When a customer returns one item from a discounted bundle, refund what they actually paid for that item: its share of the bundle price, worked out in proportion to the items' normal prices. Write that rule into your returns policy before the first bundle sells, along with what happens to free items in a buy-one-get-one offer. This guide explains the pro-rata method with an example, the alternatives, how to treat BOGO and gift returns, how the way a discount is recorded on the order affects the work, and the wording your policy needs.
Why are bundle returns harder than ordinary returns?
Because the price was agreed for the set, and the customer is now keeping only part of it. Three different refund amounts can each be defended, and without a rule your support team will pick a different one each time.
Say a set of three items normally priced at $30, $20 and $10 sells as a bundle for $48 instead of $60, a saving of 20 percent. The customer returns the $20 item. You could refund:
- $20, the item's list price. The customer has then paid $28 for two items worth $40, a larger discount than you ever offered.
- $16, the item's share of the bundle price. The customer keeps the other two at the same 20 percent saving.
- $8, the difference between the $48 paid and the $40 full price of the two items kept. The discount is withdrawn because the bundle condition is no longer met.
What is the pro-rata refund rule?
Each item carries its proportional share of the discount, and a returned item is refunded at that reduced price. It is the middle option above, and for most stores the right default.
The calculation:
- Divide the bundle price by the sum of the normal prices: $48 ÷ $60 = 0.8.
- Multiply each item's normal price by that figure: $24, $16 and $8.
- Refund the figure for whatever comes back.
Pro-rata is easy to explain, treats every item the same way, and never refunds more than was paid. Its weakness is that a customer can buy a bundle to get the saving and send back the item they did not want. Where that becomes a pattern, the third option, repricing the kept items at full price, removes the incentive. It is the hardest of the three to explain, so state it prominently if you use it.
The same choice applies to quantity breaks. When a return drops the order below a tier, either refund the returned unit's share of what was paid, or reprice the kept units at the lower tier and refund the difference.
How do you handle returns on BOGO and free gifts?
Decide whether the free item is tied to the paid one. If the customer returns the paid item and keeps the free one, they have a product for nothing, so it is reasonable to tie the two together.
The workable rules:
- Both come back. A full refund of the paid item requires the free item to be returned with it.
- Deduct the kept item. If the free item is not returned, its normal price is deducted from the refund.
- Split the price. Treat buy one get one free as two items at half price each. Returning either one refunds half.
For a gift with purchase, add two more points. A gift returned on its own refunds nothing, because nothing was paid for it. And if a partial return takes the order below the spending threshold that earned the gift, say whether the gift must come back.
For a low-cost gift, getting it back may cost more than it is worth, and letting the customer keep it is the sensible choice. The different BOGO structures and what each costs are covered in BOGO offer types and the margin maths.
How does the way the discount is recorded affect refunds?
It decides whether the refund figure is already on the order or has to be worked out by hand.
When a discount is applied by Shopify at checkout to the items in the cart, the order records what was charged for each line after the discount. A refund for one line then starts from that discounted amount, which is the pro-rata figure, and your team does not need a calculator.
When a bundle is sold as a single product at a single price, the order shows one price for the whole set. A partial return then needs someone to split that price across the contents. The trade-offs between the two structures are set out in bundle as a single product or as discounted items.
Marka Bundles & Upsells applies its bundle, quantity-break and BOGO discounts at checkout through Shopify Functions, so the discount is applied by Shopify itself, not by a script on the page. Whatever tool you use, place a test order for each offer type, open it in the admin, and look at how the discount has been allocated across the lines before you finalise your refund rules. For a BOGO in particular, check whether the discount sits entirely on the free item or is spread across both.
What should the returns policy say?
Three short statements, in plain words, placed in the returns policy and summarised near the offer.
- Whether bundle items can be returned individually.
- How a partial refund is calculated. For example: 'If you return part of a bundle, we refund the price you paid for that item after the bundle discount.'
- What happens to free items. For example: 'Free items must be returned with the qualifying product, or their price is deducted from the refund.'
Add a worked example with real numbers, so a customer can see the rule applied. Return and refund rules differ between countries, so check the requirements for each market you sell in before publishing the wording.
A short checklist
- Choose one refund method for partial bundle returns, with pro-rata as the default.
- Choose one rule for free items in BOGO and gift offers.
- Place a test order for each offer type and see how the discount appears on each line.
- Write the rules into the returns policy with an example.
- Check the policy against the rules in each market.
Clear refund rules are part of designing the offer, alongside the type and the price covered in our guide to Shopify bundle types. For offers whose discounts are applied by Shopify at checkout, see Marka Bundles & Upsells.
